Managing Refunds, Credit Notes and Adjustments
When you need to provide a customer with a refund or make an alteration to a sales invoice, this is done through Adjustments. For tutorial purposes, this article will show you how to refund a customer.
To get started, login to the website dashboard and navigate to Dashboard > Commerce > Sales.
Click the "Adjustments" button towards the top of the page to view all the adjustments.
Create a New Adjustment
On the adjustments page select the "New Adjustment" button.
When you create a new adjustment you have four options: Bad Debt, Correction, Credit and Discount.
A bad debt is money owed to you that you write off as not collectable. When you write off a bad debt, this often needs to be reflected in Oncord. Doing this will ensure the customers outstanding balance is removed, your expenses are correctly updated, and your GST liability in relation to the sale is adjusted.To make a bad debt adjustment, find the contact the bad debt will relate to, and select bad debt from the drop-down menu.Oncord will bring up all unpaid debts outstanding for the contact. Select the invoice(s) you want to adjust, add a note and save the adjustment.
A correction is normally used when a mistake has been made on an invoice.
To make a correction adjustment, find the contact the correction will relate to, and select correction from the drop-down menu.Oncord will provide you a list of all the invoices you can apply a correction to that relate to the selected contact. Select the invoice you would like to adjust.Once you have selected the invoice, you will be able to add and remove items until you are satisfied with the new invoice.
A credit adjustment is an adjustment that allows you to allocate an amount of money to a contact, so they can use the credit towards other purchases.An appropriate use for this feature is smoothing over a bad experience a customer has had on a previous purchase by giving them a $20.00 credit on there next purchase.To make a credit adjustment, find the contact the correction will relate to, and select credit from the drop-down menu.Enter the credit amount and a comment, then click "Save Adjustment".
A discount adjustment works in a similar way to the above credit adjustment.To make a discount adjustment, find the contact the correction will relate to, and select discount from the drop-down menu.Enter the discount amount and a comment, then click "Save Adjustment".
