Creating Recurring Events

A recurring event automatically creates individual events on a repeating schedule, such as a weekly class or a monthly members' night. Each generated event works like a normal event, with its own RSVP page, attendee list, and reminders. This article covers creating a recurring event series and managing the events it generates.

Before You Begin

Creating a Recurring Event

  • Go to Dashboard > Marketing > Events.
  • Click Recurring Events.
  • Click New Recurring Event.
  • To reuse an existing event, choose one under Start from Existing Event. This copies its details as a starting point.
  • Complete the event details, RSVP options, and pricing the same way you would for a single event. These options are covered in Creating Events.

Configure the Recurring Schedule

  • Set the Time Zone.
  • Choose a Start Date.
  • Under Schedule, choose how often the event repeats (week, month, or year) and how many of each.
  • For monthly schedules, set the repeat pattern in the field beside the interval. See Monthly Schedule Options below.
  • Set the Time the event runs.
  • Enter an End Date, or leave it blank to keep scheduling events until you pause the series.
  • Check the Schedule Preview to confirm the upcoming dates.
  • Click Save.

Oncord keeps a number of upcoming events generated ahead of time, and creates the next one automatically as each date passes.

Monthly Schedule Options

When the schedule repeats by month, an extra field appears beside the interval. It controls how the date for each month is worked out.

The options are worded using your Start Date, so set the start date first. The wording updates when you change it.

For a Start Date of Thursday 6 August, the options read:

  • on day 6: The event repeats on the 6th of each month. This is the default.
  • on the first Thursday: The event repeats on the first Thursday of each month.

An option for the last weekday of the month is also available, but only when your Start Date falls in the last seven days of its month. For a Start Date of Thursday 27 August, the options read on day 27on the fourth Thursday, and on the last Thursday.

  • If your start date is the fifth of its weekday in the month, such as the fifth Monday, months without a fifth occurrence are skipped.
  • Existing recurring events continue to repeat on the day of the month, so their schedules are unchanged.
  • Check the Schedule Preview after changing this field to confirm the dates.
  • The Recurring Events list shows the pattern in its schedule column, for example Monthly on the second Tuesday 9:00am-10:00am.

Recurring Event Statuses

Use the Status field on the series to control whether new events are created.

  • Active: New events are generated automatically on the schedule.
  • Paused: No new events are generated. Events already created stay in place.
  • Complete: The series has finished and will not generate any more events.

Editing a Series or a Single Event

  • Editing the recurring series updates its future generated events. Events that have already passed are not changed.
  • If you open and save a single generated event on its own, that event is detached from the series. Your changes are kept, and later updates to the series will not overwrite it.
  • Deleting a generated event removes that date from the schedule. The series will not recreate it.
  • To make an existing event recurring, create a new recurring event and choose it under Start from Existing Event. To jump back to the schedule from a generated event, click Recurring Series in the toolbar.

Tips and Notes

  • For paid events, enable Clone linked products for each generated event (the Copy option on the Event Details tab) to give each generated event its own product.
  • Pausing a series does not cancel events that have already been created. To cancel one, see Cancelling or Rescheduling an Event.
