Cancelling or Rescheduling an Event
You can cancel or reschedule an event without taking its page offline. The event page stays live and shows a notice to visitors, and you can prepare an email or SMS to attendees at the same time. This is useful when a venue falls through, a speaker becomes unavailable, or a date needs to move.
Steps
- Go to Dashboard > Marketing > Events and open the event.
- Click the three-dot button next to the Edit Event in the toolbar, then choose Cancel / Reschedule.
- Under Change, choose Cancel this event or Reschedule this event.
To Cancel an Event
- Enter a Public Message to explain the cancellation. This appears on the event page and in the draft attendee message.
- If the event has sub-events, choose whether to Also cancel sub-events.
- Set the attendee message options (see below).
- Click Cancel Event.
To Reschedule an Event
- Set the Time Zone.
- Choose the New Start Time and New End Time.
- Enter a Public Message to explain the change. The original date is shown alongside the new one.
- If the event has sub-events, choose whether to Move sub-events by the same amount.
- Set the attendee message options (see below).
- Click Reschedule Event.
Notifying Attendees
When you cancel or reschedule, you can create a message draft to send to attendees.
- Under Attendees, choose who the message is for, such as Registered attendees, Attending, or Everyone in the attendee list.
- To prepare an email, enable Create e-mail campaign draft.
- To include an updated calendar file, enable Attach updated calendar file (or Attach cancellation calendar file when cancelling).
- To prepare a text message, enable Create SMS campaign draft.
The draft is created with the subject and message filled in. Review it and send it from Email Marketing or SMS Marketing when you are ready. Nothing is sent automatically.
Tips and Notes
- A cancelled or rescheduled event shows an Event Status label of Cancelled or Rescheduled in the admin, along with the public message.
- Rescheduling an event that was previously cancelled clears the cancelled status.
- The calendar file attachment updates the event in attendees' calendar apps, so the old date does not linger in Google or Outlook Calendar.
- For paid events, cancelling or rescheduling does not refund attendees automatically. Attendees are flagged so you can process any refunds yourself.
